Job Description

A leading Fortune 50 financial services company in Vienna, VA is currently seeking a Staff Assistant to provide high-level administrative support to executive leadership. This is a dynamic onsite opportunity for a polished professional with strong communication, organizational, and troubleshooting skills.

About the Opportunity:

  • Onsite Only: Must be available to work full-time onsite in Vienna, VA
  • Schedule: Monday-Friday
  • Hours: Standard business hours (occasional flexibility may be required)
  • Setting: Corporate / Executive Office
  • Level of Support: Executive Leadership Team

Responsibilities:
The Staff Assistant will be responsible for:

  • Managing executive calendars, scheduling meetings, and coordinating logistics
  • Handling travel arrangements and processing expense reports
  • Supporting departmental operations including documentation, reporting, and compliance tracking
  • Acting as a liaison between internal teams, vendors, and external stakeholders
  • Troubleshooting and coordinating basic IT hardware/software issues with support teams
  • Drafting internal communications, reports, and presentation materials
  • Supporting onboarding, asset tracking, and other administrative initiatives

Qualifications:

  • 3+ years of experience in an administrative or executive assistant role
  • Associate's or Bachelor's degree (or equivalent work experience)
  • Proficiency in Microsoft Office Suite (Outlook, Excel, Word, PowerPoint)
  • Familiarity with basic IT troubleshooting and coordination with IT support
  • Strong documentation and organizational skills
  • Excellent verbal and written communication abilities
  • Ability to manage confidential information with discretion
  • Proven problem-solving and customer service mindset

Desired Skills:

  • Experience supporting C-suite or senior executives
  • Background in financial services or other regulated environments
  • Exposure to ticketing systems, asset management, or business process improvement
  • Strong interpersonal skills and ability to work in high-pressure environments
